Kairo Systems Terms of Service

These terms apply to services provided by Kairo Studio LLC, doing business as Kairo Systems ("Kairo," "we," "us"), to the business that signs up ("you"). By paying for a plan, you agree to these terms.

What each plan includes is described on our pricing sheet and at checkout. We typically have you up and running within one week of receiving everything we need from you.

2. Billing

Your setup fee and first month are charged when you sign up.

Your plan renews automatically every month on the same date, charged to the card on file.

If a payment fails, we'll retry it and let you know. If your account stays unpaid for 14 days, we may pause your services until it's paid.

There is no long-term contract. Your plan is month-to-month.

3. Usage

Usage is billed separately from your monthly plan, based on what you actually use. This includes AI voice minutes, phone calls and text messages. Most businesses spend about $5–10 a month.

Plans with a business phone number require a $40 phone wallet deposit to start. About $10 of that deposit is usage credit. When your wallet balance falls below $0, it automatically recharges $10. Each recharge is charged separately; it is not a monthly fee or a spending cap.

4. Website updates

Plans that include a website come with 30 minutes of website updates per month. Unused time does not roll over. Fixes to mistakes we made do not count against your 30 minutes.

5. Cancelling

You can cancel anytime by emailing [email protected]. Your services continue through the end of the month you've already paid for, and you won't be charged again. Monthly fees already paid are not refunded.

6. Setup fee refunds

If you cancel before we start building, we'll refund your setup fee in full. Once work has started, the setup fee is non-refundable.

7. When you leave

Website: at the end of your paid period, the website we built is taken offline. If you'd like to keep it, you can buy it out for a one-time fee of $2,000, and we'll transfer a copy to you.

Domain: a domain registered in your name stays yours.

Phone number: your business phone number will be terminated upon cancellation and will not be available for any usage.

AI Website Assistant: the assistant is removed from your website at the end of your paid period.

8. Your responsibilities

Give us accurate information about your business, and the access we need to set things up (for example, your website login).

Make sure you have the rights to any logos, photos and content you give us.

Review the information your AI assistant uses, and tell us when your services, hours or policies change so we can update it.

Follow up with the leads and bookings your system sends you.

9. AI assistant

Your AI assistant answers based on the information you and your website provide. It does not quote prices. It can make mistakes, and it is not a substitute for you or your team. We review and improve it, but we can't guarantee every answer is correct.

10. No guaranteed results

We build systems designed to help you capture and follow up with more leads. We don't guarantee a specific number of leads, bookings, jobs or revenue.

11. Limitation of liability

To the extent the law allows, our total liability to you for any claim is limited to the amount you paid us in the three months before the claim. We are not responsible for lost profits or indirect damages, or for outages caused by third-party providers we rely on (such as hosting, phone carriers or payment processors).

12. Changes to these terms

We may update these terms. If we make a change that affects your plan, we'll email you at least 30 days before it takes effect.

13. Text messages (SMS)

These terms also apply to text messages sent and received through Kairo Systems, including messages sent on behalf of our clients' businesses.

Consent: you receive messages from us only after giving your phone number and agreeing to be contacted, for example through a website form, a booking, or by signing up for our services.

What we send: appointment confirmations and reminders, replies to your inquiries, account and service updates, and occasional offers.

Frequency: varies based on your interaction with us.

Rates: message and data rates may apply, depending on your mobile carrier's plan.

Opt out: reply STOP to any message to stop receiving texts. Reply HELP for help, or email [email protected].

Delivery: carriers are not liable for delayed or undelivered messages, and we can't guarantee every message is delivered on time.

Your information: we do not sell or share your mobile number or text messaging consent with third parties for their marketing. See our Privacy Policy for how we handle your data.
